Appointment Management

Managing appointments can involve  starting an episode of care, entering new patients, booking appointment slots, corresponding with the patient, arranging transport, recording information about the appointment, managing changes to the appointment, defining outcomes and reporting.  Our Medical System makes the whole process much simpler even when managing a multiple-clinic environment.   


 Updating patient details  When necessary, the user can quickly amend the electronic patient record and add referral details.

 Viewing appointment slot availability –  Diaries display, all slot information in both weekly and daily format, allowing the data to be filtered by clinic, clinician and other criteria. The diaries can also display none clinical activities, such as holidays and training periods.

 Viewing appointment history –  The Diaries enable users to view past appointments and quickly view the past and future appointments of patients and clinicians.

 Booking appointments To book an appointment or activity, the user simply clicks on an available appointment slot and then enters the required information to complete the booking. Once entered, the appointment is completed and standard letters and alerts can be sent to the patient and clinicians involved. This information is also available online.

 Defining appointment purposes  – Appointment purposes are defined for each appointment and these can be selected from predefined lists.

 Issuing correspondence Once an appointment is created, letters to the patients and clinicians can be automatically generated from a library of letter templates.

 MessagingLetters and reminders can be sent to patients electronically, via email or through SMS texting.

 Defining appointment outcomes  – Appointment outcomes are defined for each appointment and these can be selected from predefined lists.

 Entering details of clinical organisations – Information relating to the patients primary GP, CCG and referred Trust can be simply selected from a drop down list.

>  Specialist Clinical Details – Where the patient has been referred to a specialist clinical unit, the patient record can be expanded, displaying additional clinical factors relevant to that specialism.

Ease of use – The appointment functionality make it easy to view, book, amend and report appointments.

Speed of use – Making an appointment requires just a few clicks and correspondence is produced automatically.

Fewer missed appointments – Alerts, text messaging and standard letters reduce the chances of missed appointments.
